HVAC & Propane Billing Coordinator

JOB SUMMARY

The Rural HVAC & Propane Billing Coordinator role is primarily responsible for managing the billing functions of HVAC & Propane service operations. This includes reviewing completed work orders, generating and processing invoices, and ensuring billing accuracy and timeliness. This role works closely alongside the HVAC & Propane Dispatching Coordinator to ensure seamless communication and operational flow. While billing is the main focus, the HVAC & Propane Billing Coordinator provides backup support for dispatching functions as needed.

RESPONSIBILITIES

Billing (Primary Responsibility)

  • Process daily billing entries with a focus on accuracy and timeliness.

  • Allocate a majority of daily hours per day to billing.

  • Follow up on open service calls in Cargas and work with the HVAC & Propane Dispatching Coordinator

  • Collaborate with the customer care team when billing questions arise.

  • Receive inventory into Cargas.

  • Ensure inventory is being added to service vehicles as well as properly transferred out of the service warehouse.

  • Collaborate with the accounting team to support month-end closing, reporting, and any billing discrepancies.

  • Attend team and inter-department meetings as scheduled.

Customer Care (Backup Responsibility)

  • Provide additional support on the phones for high call volume days

QUALIFICATIONS

  • High attention to detail and organizational strength

  • Strong communication and customer service skills

  • Ability to prioritize in a fast-paced environment with seasonal workload fluctuations

  • Collaborative team mindset with a sense of ownership

  • Familiarity with routing logistics and dispatch systems -CARGAS a plus

  • Proficient in Microsoft Office Suite (Outlook, Excel, Word)

REQUIREMENTS

  • High school diploma/GED required

  • PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee is frequently required to work from a stationary position, sit, stand, walk, use hands to finger, handle or feel, and reach with hands and arms. The employee is occasionally required to stoop, crouch, kneel, balance, or climb. The employee must occasionally lift and move objects up to 25 pounds. The employee is regularly required to talk or hear.

WORKING ENVIRONMENT

  • 100% in office. This job operates in a professional office environment. This role routinely involves standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Field training includes ride-alongs with drivers and technicians, as assigned.
